Why calls aren't transferring to my staff (or the AI says 'the restaurant is busy')

When your Maple AI agent transfers a caller to your team, it places a brand-new outbound phone call from your Maple number to your staff or handoff line. Because that's a real phone call, whether it connects depends on your phone and your carrier — not on a setting inside Maple. This guide explains what happens during a transfer, why a call sometimes doesn't reach your staff (and can sound like the restaurant is busy), and what you can do to improve it.


How Call Transfers Work

When the AI hands off a call, it dials your handoff number as a separate outbound call and connects the customer to it. Since this is an ordinary phone call over your regular phone service, it behaves like any other call to that line — it will only connect if the line is available and someone answers.


Why It Can Sound Like “The Restaurant Is Busy”

If your staff line doesn't pick up, the call reaches voicemail after a short time — often about 20 seconds, a limit set by your carrier rather than by Maple. To the customer, that stretch of ringing before voicemail can sound like the restaurant is busy or unavailable.


What to Check and How to Improve It

If transfers aren't reaching your staff reliably, work through these steps:

  1. Confirm your handoff number is correct and reachable. Call it yourself from another phone to make sure it rings through to the right place and that someone can answer.

  2. Extend your carrier's voicemail trigger time. Increasing how long the line rings before rolling to voicemail gives your staff more time to pick up a transferred call.

  3. Turn on SMS notifications. With text notifications enabled, you'll still receive the order or call details even when a transfer isn't answered, so nothing slips through the cracks.


Good to Know

  • Only your Maple number appears in your carrier call history for transferred calls. The customer's original caller ID isn't forwarded on a transfer — this is a limitation of how telephony handoffs work, not a Maple setting.

  • Phone extensions aren't supported for handoff numbers, so be sure your transfer line is a direct number that rings through on its own.
