When customers call your restaurant and the AI voice agent can't find or correctly identify menu items, it leads to frustration, lost orders, and a poor customer experience. This guide covers the most common menu recognition issues, explains why they happen, and walks you through how to fix them.
Menu Items Reported as Unavailable When They Exist
Symptom
The AI tells callers that a menu item doesn't exist or is unavailable, even though the item is clearly on your menu. For example, a customer asks for fried ravioli and the AI responds that it's not available.
Cause
This is typically caused by one of the following:
The item is not properly linked or categorized in your POS system (e.g., Toast)
The item is marked as unavailable or hidden in your POS configuration
A POS sync issue prevented the item from being imported into the AI system
The item exists in an unlinked menu category that the AI cannot access
Fix
Check your POS system. Log into your POS (e.g., Toast) and confirm the item is active, visible, and properly categorized under the correct menu section.
Verify menu linking. Ensure all menu categories are properly linked. Unlinked categories prevent the AI from finding items within them.
Check for sync errors. If your menu recently changed, the POS sync may not have completed. Contact Maple support to verify that synchronization finished successfully.
Re-enable hidden items. If an item was previously turned off (e.g., a seasonal item that's back), make sure it's toggled back on in your POS. Previously disabled items like daily specials can linger in an inactive state.
Test after changes. Call your AI phone number and ask for the specific item to confirm it's now recognized.
AI Suggests or Mentions Items That Don't Exist
Symptom
The AI recommends menu items your restaurant doesn't serve, claims you offer services you don't (like delivery or parking), or describes items with incorrect details (e.g., mentioning a "chocolate chip cheesecake" that isn't on your menu).
Cause
This is known as hallucination — the AI generates information that isn't in your menu or restaurant profile. Common triggers include:
Incomplete or outdated menu data in the system
Incorrect item descriptions in your POS configuration
Missing restaurant profile details, causing the AI to fill in gaps incorrectly
Fix
Audit your POS menu configuration. Ensure every item has accurate names, descriptions, and availability settings. Incorrect POS data is the most common root cause.
Update your restaurant profile. Verify that details like services offered (dine-in, takeout, delivery), parking, and alcohol availability are accurately reflected in your Maple configuration.
Remove or disable discontinued items. If items like a stuffed salmon special are no longer offered, turn them off in your POS so the AI doesn't reference them.
Report persistent hallucinations. If the AI continues to invent items after your menu data is correct, contact Maple support with specific examples (the item mentioned, the date/time of the call) so the engineering team can investigate.
Customers Use Different Names Than What's in the Menu
Symptom
A customer asks for a "fried chicken sandwich," but your POS lists it as "Peri-Peri Chicken Sandwich." The AI doesn't make the connection and suggests unrelated items instead. Similarly, customers may say "burger" when your menu lists "Smash Burger," or say "House Fried Rice" when the item is called "Combination Fried Rice."
Cause
The AI matches customer requests against the exact item names in your menu system. When customers use common nicknames, shortened names, or regional variations, the AI may not recognize the match.
Fix
Add alternative names in your menu item descriptions. In your POS system, update the item description to include common ways customers refer to the item. For example, for "Smash Burger," add a description noting that customers may simply say "burger" and should be asked about patty options (1 patty or 2 patties).
Update the knowledge base. Work with Maple support to add known aliases and nicknames to your knowledge base. For example, map "House Fried Rice" to "Combination Fried Rice" so the AI recognizes both.
Think like your customers. Consider the most common ways callers refer to your items and proactively add those variations. This is especially important for items with branded or unique names.
AI Doesn't Recognize Spanish or Non-English Menu Item Names
Symptom
Customers pronounce items like "Burrito a la Mexicana" or "Pollo a la Crema" with their natural Spanish (or other language) pronunciation, and the AI fails to match the request to the correct menu item.
Cause
The voice recognition system may struggle with non-English pronunciations, especially when the menu item names include words from another language. The AI's speech-to-text engine may transcribe the spoken words differently than how they appear in the menu.
Fix
Add phonetic variations to the knowledge base. Work with Maple support to include common pronunciation-based spellings of your menu items so the AI can match them.
Include both English and non-English versions. If customers commonly use both "Chicken in Cream Sauce" and "Pollo a la Crema," add both as recognized names.
Test with realistic pronunciations. Call your AI number and pronounce items the way your customers would. Note any failures and report them to Maple support with the specific item names and approximate pronunciation.
AI Mispronounces Menu Item Names
Symptom
When the AI reads menu items aloud to callers, it mispronounces names — for example, saying "ny strip" (as a word) instead of "N-Y Strip," or butchering Italian, Spanish, or other non-English item names.
Cause
The AI's text-to-speech engine reads item names as they appear in your POS system. Abbreviations, unusual spellings, or non-English words can cause pronunciation errors.
Fix
Spell out abbreviations in your POS. Change "NY Strip" to "New York Strip" in your menu item name or description.
Report pronunciation issues. Contact Maple support with a list of mispronounced items. The team can apply pronunciation corrections to your AI configuration.
Avoid special characters and unusual formatting in item names, as these can confuse the text-to-speech system.
Voice Recognition Confuses Similar-Sounding Words
Symptom
The AI misinterprets what the customer says — for example, hearing "shoes" when the customer says "stews," or hearing "chicken teriyaki" when the customer says "chicken karahi."
Cause
The speech-to-text engine can struggle with words that sound similar, especially for:
Items with uncommon or specialized names
Customers with strong accents
Noisy phone connections
Fix
Add contextual hints to the knowledge base. When the AI knows your restaurant serves stews (not shoes), it's more likely to interpret ambiguous audio correctly. Ensure your full menu is properly synced and categorized.

Cause
Very large menus can exceed the AI's processing capacity. When the menu data is too large:
POS synchronization may time out before completing
The AI may only retrieve a subset of items from each category
Response accuracy decreases as the AI searches through more data
Fix
Verify POS sync completed. Contact Maple support to confirm your full menu was successfully imported. Large menus from POS systems can cause timeout errors during synchronization.
Streamline your menu where possible. Consider whether all items need to be AI-accessible. Disable items that are rarely ordered by phone or that require complex customization better handled by staff.
Organize items into clear categories. Well-structured menu categories help the AI retrieve items more efficiently.
Disable inactive or seasonal items. Remove items that aren't currently available to reduce menu size and prevent the AI from referencing them.

Daily Specials and Time-Based Menus Not Handled Correctly
Symptom
The AI recommends daily specials (like grouper piccata) without noting they're only available on certain days, confuses standalone specials with regular menu items (e.g., treating a "Fried Chicken" daily special as the regular "Chicken Fried Chicken"), or says items aren't available when the menu simply hasn't started yet (e.g., telling a 3 p.m. caller "there are no desserts" when the dinner menu starts at 4 p.m.).
Cause
Daily specials may not be properly marked as limited-availability in your POS
Menu themes or dayparts (brunch, lunch, dinner) may not be correctly configured
The AI defaults to saying items "don't exist" rather than explaining the menu isn't active yet
Fix
Properly configure specials in your POS. Mark daily specials with their specific availability days and times so the AI can communicate this to callers.
Set up menu themes/dayparts. Ensure brunch, lunch, dinner, and weekend menus are configured as separate themes with correct time windows in your system.
Add knowledge base entries for specials. Include details about when specials are available (e.g., "Friday afternoon through Sunday") so the AI can inform callers accurately.
Report misleading time-based responses. If the AI says items don't exist instead of explaining they're not yet available, contact Maple support — the engineering team has fixes for improving this wording.
Inconsistent Responses Across Multiple Calls
Symptom
The AI gives different answers to the same question on different calls — for example, listing different pizza sizes, or saying wine is available on one call and not on another.
Cause
This can result from:
Recent menu or knowledge base changes that haven't fully propagated
Conflicting information between your POS data and knowledge base entries
Menu sync issues causing partial data loads
Fix
Ensure your POS is the single source of truth. All menu items, hours, and availability should be managed in your POS system. Conflicting manual entries can cause inconsistencies.
Wait for sync to complete after changes. After updating your POS menu, allow time for the changes to sync before testing.
Review your knowledge base for conflicts. If you've added custom knowledge base entries that contradict your POS data, remove or update them.
Test multiple times. Call the AI 2-3 times with the same question. If you get different answers, document the responses and contact Maple support.
Items Exist in Your Restaurant but Not in the Visible Menu
Symptom
Customers call asking for items (like chicken egg rolls) that don't appear on your public menu, website, or POS system, but your staff can actually fulfill these orders.
Cause
Your restaurant may have an internal or unofficial menu that hasn't been added to the POS system or shared with Maple. The AI can only work with the menu data it has access to.
Fix
Add all orderable items to your POS. If customers can order it, it should be in your menu system — even if it's not on your printed or website menu.
Update your Maple knowledge base. For items you want the AI to recognize but that aren't in your POS, work with Maple support to add them to your knowledge base.
Keep your website menu current. If your website menu is outdated or incomplete, it may have been used as a data source during setup. Ensure it reflects your actual offerings.

Reach out to the Maple support team if:
You've verified your POS configuration is correct but the AI still can't find items
The AI consistently hallucinates items that don't exist in any of your menu data
You need help adding aliases, pronunciation mappings, or knowledge base entries
