Toast POS Integration Troubleshooting

Connecting your Toast POS system to Maple is one of the most important steps in getting your AI voice agent up and running. While the integration is powerful once configured, Toast's setup process can be more complex than other POS systems. This guide covers the most common issues you may encounter and how to resolve them.
Initial Setup Fails or Nothing Happens After Completing Steps
Symptom: You've completed all the steps in the Toast integration flow, but the integration doesn't activate. No data syncs, and the system appears stuck.
Cause: This is typically a caching or synchronization issue on the Toast side. Even though all configuration steps were completed correctly, the connection doesn't register.
Fix:
Remove the Toast integration from your Maple account.
Re-add the integration using your Group ID.
Complete the setup steps again.
This remove-and-re-add process typically triggers the integration to work almost immediately. If your initial attempt doesn't seem to take effect, don't spend time troubleshooting individual steps — go straight to this workaround.
Page Error When Clicking "Next" at Final Step
Symptom: After reaching Step 5 (integration status check) in the Toast integration flow, clicking the optional Next button causes the page to error out.
Cause: This is a minor UI bug in the final step of the flow. It does not affect the actual integration — your setup has already completed successfully by this point.
Fix:
Simply reload the page in your browser.
Verify that the integration status shows as connected.
You can safely ignore this error. The integration is complete once the status check passes, regardless of whether the Next button works.
Toast Integration Button Is Disabled or Shows "Ordering Doesn't Need to Be Clicked"
Symptom: You're trying to set up the Toast integration, but the button is grayed out or you see a message indicating that ordering setup isn't needed yet.
Cause: Your Maple onboarding has prerequisite steps that must be completed first. Specifically, KYC verification and order onboarding must be finished before the system allows you to proceed with POS integration.
Fix:
Check your onboarding checklist in the Maple portal.
Complete KYC verification if it's still pending.
Finish any outstanding order onboarding steps.
Return to the Toast integration setup — the button should now be active.
Toast Management Suite Required for Integrations
Symptom: You navigate to Browse and Purchase Integrations in Toast but cannot find or add the Stream Orders integration. The Restaurant Management Suite may be missing from your integrations list.
Cause: Toast requires an active Restaurant Management Essentials subscription to enable third-party integrations like Stream Orders. Without this bundle, the integration options are not available.
Fix:
Log into your Toast web portal.
Navigate to Browse and Purchase Integrations.
Search for and purchase the Restaurant Management Essentials bundle ($50/month).
Once activated, return to the integrations section and search for Stream Orders or Partner Connect.
Proceed with the Maple integration setup.
Note: If the setup doesn't work as intended after purchasing the bundle, you are eligible for a refund.
Integration Blocked by Missing Menu Builder Permissions
Symptom: The Toast integration is partially set up but appears incomplete. Menu data isn't syncing to Maple, or the integration stalls partway through.
Cause: Maple requires specific permissions in your Toast account — including menu builder permissions — to complete the integration and sync your menu. If these permission boxes haven't been checked, the integration cannot proceed.
Fix:
Log into your Toast account.
Navigate to the employee or user profile that Maple uses for access.
Locate the permissions section and grant the required permissions, including menu builder access.
Save your changes.
Return to the Maple portal and retry the integration or contact support to confirm the connection.
Tip on permission numbering: Toast's permission numbering may not match what you expect (e.g., you may be looking for "permission 4.5" but see "4.28" instead). Scroll through the full permissions list to locate the correct items rather than relying on specific numbers.
Stream Orders Page Fails to Load or Open
Symptom: When clicking the green button to open the Stream Orders integration, the new tab doesn't open, or the page takes a very long time to load.
Cause: The Stream Orders portal (the POS aggregator used for Toast integration) can experience loading delays or may fail to open a new tab automatically.
Fix:
If the page is slow to load, click "Open Stream Orders again" to retry.
If the new tab doesn't open at all, skip the automatic tab and proceed with completing the integration directly in the Toast dashboard instead.
Check that your browser isn't blocking pop-ups, which can prevent the new tab from opening.
Menu Sync Errors or Menus Not Appearing
Symptom: After connecting Toast, your menus don't appear in the Maple portal, appear incomplete, or contain confusing duplicate entries.
Cause: Menu sync issues can stem from several factors:
The menu import from Toast may still be in progress.
The Maple portal may need to be refreshed to recognize newly synced menus.
Your Toast account may contain duplicate or unnecessary menu entries (e.g., both a "Takeout" and "Crew Takeout" menu) that create confusion.
Fix:
If menus haven't appeared yet:
Allow time for the import to complete — initial menu imports can take several hours.
In the Maple portal, click "Get Started" again after menus have synced to refresh the view.
If you see duplicate or confusing menu entries:
Log into your Toast account.
Review your menu list and remove any unnecessary variations (e.g., internal "Crew" menus or test menus).
Re-sync your menus in the Maple portal.
If menu items aren't being recognized during order testing: Menu item descriptions and configurations in Toast may need adjustment. Review your item names, descriptions, and modifier configurations in Toast to ensure they are clear and complete.
Customer Doesn't Have Toast Management Access
Symptom: You're unable to complete the integration because you can't access Toast's management interface or admin settings.
Cause: The person attempting the setup doesn't have the necessary management-level access in Toast. This is common when the account owner or IT administrator hasn't granted permissions to the person handling the Maple onboarding.
Fix:
Contact your Toast account owner or administrator.
Request management-level access to the Toast portal.
Once access is granted, return to the Maple onboarding process to continue setup.
If you're unsure who has admin access, contact Toast support directly to identify the account owner.
Missing Toast Login Credentials
Symptom: You're ready to proceed with the Toast integration during onboarding, but you don't have the Toast login credentials available.
Cause: The credentials may be held by a different team member, such as the restaurant owner or IT contact, and weren't provided ahead of the onboarding session.
Fix:
Before your onboarding session, ensure you have your Toast login credentials ready.
If another team member manages the Toast account, ask them to provide the login or be available during the session.
If credentials aren't available during the call, your Maple onboarding specialist can continue with other setup tasks and return to the Toast integration once credentials are provided.
Two Approaches to Toast Integration
If you're finding the Toast setup process difficult, keep in mind that Maple offers two approaches:
Customer-led walkthrough: Your Maple onboarding specialist guides you through the setup step by step via screen share.
Maple-managed setup: You grant Maple access to your Toast account and the required POS permissions, and the Maple team completes the integration on your behalf. This approach typically takes approximately one day and avoids the need for you to navigate Toast's configuration screens.
Ask your onboarding specialist which approach is best for your situation.
Toast Doesn't Support Automatic Rollback of Published Changes
Symptom: You've published changes in Toast (e.g., modifier group settings) as part of the Maple integration and need to undo them.
Cause: Toast POS does not have built-in version history or an automatic undo function for published changes.
Fix: You'll need to manually revert each change:
Log into your Toast account.
Navigate to each affected element (e.g., modifier groups).
Change settings back individually (e.g., switching required modifiers back to optional, removing added items).
While the number of clicks per item isn't high, this must be done for each affected modifier group or menu element. Plan changes carefully before publishing to minimize the need for rollbacks.
